Terms of Service

These terms explain the rules for using AILAR, your responsibilities, how plans and billing work, and the limits that apply to the service.

1. Agreement to these terms

These Terms of Service govern your access to and use of AILAR, including ailar.app, the AILAR portal, scanner experiences, APIs or integrations we make available, and related services. AILAR is an independent software service operated from the Kingdom of Bahrain.

By creating an account, using AILAR, or purchasing a paid plan, you agree to these Terms and our Privacy Policy. If you use AILAR for a company, venue, event, organization, or other entity, you confirm that you are authorized to accept these Terms on its behalf.

2. What AILAR does

AILAR lets customers upload or create records containing unique codes, define validation rules, assign operators, scan or enter codes, and record validation activity. AILAR can support workflows such as tickets, guest lists, memberships, vouchers, invitations, reservations, access passes, loyalty programs, and similar record-validation use cases.

AILAR validates the code or record against the data and rules configured in the relevant System. A validation result is a software decision based on those inputs. It is not an identity document, payment guarantee, legal authorization, or substitute for a customer's own safety, venue, eligibility, or access procedures.

3. Accounts, Admins, Operators, and workspaces

  • You must provide accurate account information and keep your credentials and devices secure.
  • Admins control workspaces, Systems, records, operators, plan settings, and other administrative functions available to their account.
  • Operators are limited-purpose users intended primarily for scanning and validation within Systems assigned to them. Customers are responsible for who they invite or authorize as Operators.
  • You are responsible for activity performed through your account unless the activity results from a security failure for which AILAR is legally responsible.
  • You must promptly notify us at support@ailar.app if you believe an account or credential has been compromised.

4. Customer Data

You retain your rights in the records, files, codes, names, ticket information, membership information, and other data you upload to AILAR (Customer Data). You give AILAR a limited right to host, copy, transmit, process, format, validate, and otherwise use Customer Data only as needed to provide, secure, support, and improve the service and to comply with law.

You are responsible for the legality, accuracy, and quality of Customer Data and for obtaining any permissions, notices, or other legal basis required to collect and upload it. Do not use AILAR to store data that is unlawful, infringing, unnecessarily sensitive, or outside the purpose of your validation workflow.

5. Validation activity and code usage

A genuine validation attempt that reaches AILAR's validation engine may be recorded as activity whether the result is approved, already used, invalid, expired, blocked, or another supported result. Technical retries using the same idempotency or attempt identifier are intended not to be counted twice.

For a one-time-use code, the first successful validation may consume the code. Later attempts may return an already-used or duplicate result rather than replacing the original successful validation. Customers are responsible for configuring rules that match their operational needs.

Optional location information may be attached to a scan when the relevant device and user grant permission. Location is not required for validation unless AILAR later offers a feature that clearly states otherwise.

6. Plans, limits, and Free-plan cleanup

Plan features, included usage, workspace limits, System limits, operator limits, trial availability, and other commercial entitlements are described on the Pricing page and in the product. The current plan information shown at the time of purchase or activation applies to that subscription unless we notify you of a lawful change.

Included validation usage is measured according to the active plan. AILAR may continue scanning after an included allowance is exhausted so live operations are not interrupted. Unsettled overage may reduce a later period's effective included allowance where the product and Pricing page say so. We will not impose a monetary overage charge unless the applicable charge is disclosed before it becomes payable.

Free Systems are intended for active use. Under the current Free-plan policy, a Free System may enter a warning period after 23 days without validation attempts and may become eligible for deletion after 30 days without a scan. A new validation attempt resets that inactivity period. Deleting a System may also delete its associated records, activity, imports, and stored source files.

7. Paid subscriptions, trials, and billing

When paid billing is enabled, paid plans may be offered monthly or annually and may renew automatically until canceled, as shown at checkout. Fees, billing frequency, taxes, and any trial terms are disclosed before purchase.

Eligible customers may receive one introductory paid trial for their AILAR customer account. A payment method may be required. Changing between eligible paid plans during the same trial does not create a new or extended trial unless AILAR explicitly states otherwise.

AILAR may use Paddle or another authorized reseller or merchant of record to process checkout, subscription billing, taxes, payment methods, invoices, refunds, chargebacks, and related buyer obligations. The reseller's buyer terms, privacy notice, and refund rules presented at checkout may also apply to the payment relationship.

If a payment fails, AILAR may provide a temporary grace period, display payment warnings, or restrict paid features after the applicable grace period. We may restore paid access after successful payment. We will not intentionally interrupt a scan already being processed solely because a billing-state update arrives during that validation request.

8. Upgrades, downgrades, cancellation, and excess resources

Upgrades may take effect immediately or after the billing provider confirms the change. Downgrades and billing-frequency changes may take effect at the end of the current paid period when the product says so. Any provider preview or proration shown before confirmation forms part of the requested change.

If a downgrade leaves your account with more workspaces, operators, Systems, or other resources than the lower plan allows, AILAR may lock or restrict excess resources rather than immediately deleting them. Upgrading again may restore access where the retained data is still available.

Cancellation normally stops renewal at the end of the current paid period unless the checkout or account interface states otherwise. Access to paid features can continue until that period ends. Refund eligibility, if any, is subject to applicable law and the terms of the billing provider handling the transaction.

9. Acceptable use

You may not use AILAR to:

  • Break the law, infringe the rights of others, or process personal data without a lawful basis.
  • Upload malware, harmful code, or content designed to disrupt the service or another system.
  • Probe, scan, exploit, bypass, or interfere with AILAR's security, rate limits, authentication, authorization, workspace isolation, or validation controls.
  • Attempt to access another customer's workspace, records, operators, activity, or confidential information without authorization.
  • Scrape, overload, automate abusive requests, or use the service in a way that materially harms AILAR or other users.
  • Reverse engineer or copy protected parts of AILAR except where applicable law expressly permits it.
  • Use AILAR to facilitate fraud, counterfeit access credentials, unauthorized entry, or deceptive validation workflows.

10. Your operational responsibilities

You are responsible for your event, venue, membership program, access policy, staff training, connectivity, devices, record accuracy, backup practices, and any decision made after receiving a validation result. You should test important workflows before live use and maintain a reasonable fallback process where interruption could materially affect your operation.

If you upload codes that can be guessed, reused, copied, or shared, AILAR cannot guarantee that the code itself proves the identity or entitlement of the person presenting it. Use appropriately secure codes and rules for the level of risk involved.

11. Intellectual property

AILAR and its software, design, branding, documentation, and other service materials are owned by or licensed to AILAR and are protected by applicable intellectual-property laws. Except for the limited right to use the service under these Terms, no ownership rights are transferred to you.

If you provide feedback, suggestions, or ideas about AILAR, you allow us to use them without restriction or payment, provided we do not identify you publicly without permission.

12. Third-party services

AILAR depends on third-party infrastructure and services, which may include Vercel, Supabase, authentication providers, app stores, and billing providers such as Paddle. Third-party services have their own terms and policies. We are not responsible for third-party services to the extent the issue is outside AILAR's reasonable control, but this does not exclude responsibility that cannot lawfully be excluded.

13. Availability and changes to the service

We work to keep AILAR fast and available, but the service is provided on an as-available basis and we do not promise uninterrupted or error-free operation. Maintenance, security events, internet failures, provider outages, device limitations, or other events can cause interruption.

We may add, remove, or change features to improve security, reliability, compliance, or the product. We will avoid materially reducing a paid service during a prepaid term without a reasonable business or legal reason, and will provide notice when required by law.

14. Suspension and termination

We may suspend or restrict access when reasonably necessary to protect AILAR, other users, or third parties; investigate suspected fraud or abuse; comply with law; address nonpayment; or enforce these Terms. Where practical and appropriate, we will give notice and an opportunity to resolve the issue.

You may stop using AILAR at any time. Account closure or termination does not automatically cancel obligations that arose before termination, including valid payment obligations. You should export data you need before closing your account or allowing a Free System to become eligible for deletion.

15. Disclaimers

To the maximum extent permitted by applicable law, AILAR is provided without warranties that are not expressly stated in these Terms. We do not guarantee that every code is genuine, that every record supplied by a customer is accurate, that a device camera will scan every code, or that the service will meet every legal, security, or operational requirement of your particular use case.

Nothing in these Terms excludes consumer protections, statutory warranties, or other rights that cannot lawfully be waived or limited.

16. Limitation of liability

To the maximum extent permitted by law, AILAR will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, lost revenue, lost goodwill, lost business opportunity, or loss of data, arising from or related to the service when those losses were not reasonably foreseeable or were caused by matters outside AILAR's reasonable control.

Where liability can lawfully be limited, AILAR's total aggregate liability arising from the service during any twelve-month period will not exceed the amount you paid directly for AILAR during the twelve months immediately before the event giving rise to the claim. For Free users, the cap is the greater of USD 100 or any minimum amount required by applicable law.

These limitations do not apply to liability that cannot legally be limited, including liability for fraud, willful misconduct, or other categories that applicable law protects from limitation.

17. Indemnity for business use

If you use AILAR for a business or organization, to the extent permitted by law you agree to defend and indemnify AILAR against third-party claims, losses, and reasonable costs arising from your unlawful Customer Data, your violation of another person's rights, your misuse of AILAR, or your material breach of these Terms. This does not require you to indemnify AILAR for claims caused by AILAR's own unlawful conduct or negligence where such exclusion is not permitted.

18. Governing law and disputes

These Terms are governed by the laws of the Kingdom of Bahrain, without regard to conflict-of-law rules, except where mandatory consumer or data-protection laws in another jurisdiction apply and cannot be waived. Courts with jurisdiction in Bahrain will have jurisdiction over disputes unless applicable mandatory law gives you the right to bring a claim elsewhere.

19. Changes to these Terms

We may update these Terms to reflect product changes, legal requirements, security needs, billing changes, or new features. We will update the date at the top of this page. If a change materially affects existing paid users, we will provide additional notice when required by law or when reasonably appropriate.

20. General terms

If part of these Terms is found unenforceable, the remaining provisions remain in effect to the extent permitted by law. A failure to enforce a provision is not a waiver. You may not transfer your agreement with AILAR without our consent if the transfer would materially affect our rights or obligations. We may transfer these Terms as part of a legitimate reorganization, sale, or transfer of the AILAR business, subject to applicable law.

These Terms, the Privacy Policy, the Pricing page, any plan-specific terms shown at checkout, and any additional written agreement we sign with you form the agreement governing the relevant AILAR service. If there is a conflict, a specifically negotiated written agreement signed by both parties controls for the subject it covers.
